Getting started with Lockbox

Lockbox makes it easy for us to share files with you in a way that is totally secure. Once you are set up, it's extremely safe and more importantly, easy to use. However we understand that you might have a few questions to begin with, so we're going to do our best to answer those here.

Since you're reading this page, chances are you have already found your way to our Lockbox page. If not, you can find it at http://www.dewings.com.au/lockbox.

Java

Lockbox uses Java. Since Java is commonly used across the Web, there's a good chance you might have it installed on your computer already. If not, when you first access our Lockbox page, you'll be prompted to install it. The download is free and you should be able to simply follow the prompts. If you have any problems at all with it, please contact one of the Dewings team. NOTE: This step is only required once.

Logging in

If you have Java installed already, you will be presented with a login screen. All you need to do here is enter your username and passphrase. If it's your first time using Lockbox, you will need to enter the username and passphrase that we provide you with.

You'll then be presented with a prompt to change your passphrase. You should change it to something you can easily remember. From then on you can use your own passphrase.

NOTE: If you forget your username and/or passphrase at any time, please contact your Dewings team member and we'll arrange to reset them for you.

Managing your files

Once you are logged into your Lockbox, there are a number of things you can do. You will see that Lockbox is laid out much like your computer's file browser - Windows Explorer, My Computer, etc. There are folders, and there are files and folders within those folders. You can navigate around Lockbox by simply clicking on the folder that you would like to browse. Note too that there is an 'Up arrow' button along the top which will move you up one level when clicked.

  • Upload a file - Uploading a file is very simple. You can simply drag the file from your computer to the Lockbox folder that you want to store it in and the upload will begin. Alternatively you can click on the green arrow button at the top of the Lockbox window, which will then prompt you to find the file to be uploaded. Once you have started the upload, a progress bar will appear. You can stop the upload at any time by clicking the 'Stop' button next to the progress bar.

    The upload speed will vary from computer to computer, but testing indicates that the transfer speed will be around 1 megabyte per 30 seconds. That might be slower than your usual speed, but that's because of the encryption that is taking place to ensure the security of your data.

  • Download a file - If there are files or documents that you'd like to download from your Lockbox, simply right-click on the file, select 'Save As' and specify the location you'd like to download to. You can also highlight the file and click on the blue arrow button at the top of the page.

    NOTE: You can't simply double-click on the file to open it. It needs to be downloaded to your computer first. Once the file is stored on your local drive, you can then open it.

  • Create a new folder - You can create new folders and sub-folders in your Lockbox. By default, a few commonly used folders will be set up already. To create a new folder, simply click on the 'Create New Folder' button at the top of your Lockbox. If you'd like your new folder to be a sub-folder of another, highlight the folder you would like to be the parent folder first, then click 'Create New Folder'.

  • Delete a file - To delete a file or folder, simply highlight the item you want to delete and click the 'Delete' button (the big red cross) at the top of your Lockbox window. You can also delete by right-clicking the relevant file or folder and selecting 'Delete...'. You will be prompted to confirm the deletion before it proceeds.

  • Rename a file or folder - You can rename a file or folder by right clicking it and selecting 'Rename...'

Adding a note to your file 

You can add a note to a file for other users of your Lockbox to read. For example, you may upload your latest QuickBooks or MYOB file, and want to let your Dewings team member know that you've entered all the data up to a certain date. By 'annotating' the file, you can leave a message to that effect with your file.


To Annotate a file, right-click the file and select 'Annotate...'. You can then type your message and when complete, click 'Done'.

When a file has a note attached to it, a red square will appear behind the Lockbox icon next to the file. You can read the note by simply hovering your mouse over the file with the red square, or edit it by right-clicking it again and selecting 'Annotate...'.

Notifications 

You can receive email notifications when changes are made to your Lockbox. That way, for example, if we add a new file to your Lockbox, you will receive an email letting you know when it's been added.

To receive notifications for changes to your Lockbox: 

  1. Click on the 'File' menu.
  2. Select 'Enable Notifications'. This menu item changes based on the option that you currently have selected. If notifications are already enabled, it will instead read 'Disable Notifications'.
  3. Click on the 'File' menu again and select 'Set Email Address'.
  4. Enter your email address in the 'address' field.
  5. Type your email address again in the 'confirm' field.
  6. Click 'Done'.

You will now receive an email whenever changes are made to your Lockbox.

Changing Your Password

You can change your password at any time. To do so:

  1. Click on the 'Security' menu in your Lockbox.
  2. Select 'Change Password'.
  3. You will be prompted for your current password. Enter it in the field provided and click 'Next'.
  4. Enter your new password in the next screen, and retype it to confirm.
  5. Click 'Change Password' to complete the operation.

If you forget your password, we can reset it for you at anytime. Contact your Dewings team member if you need your password reset.

Other features

There are a number of other features in Lockbox, however most of them fall outside of the scope of this 'Quick Start' guide (we will rarely use them anyway). For example, you can send email messages to all of the users of your Lockbox from the 'Messaging' tab. Feel free to explore these options further, and if you would like to clarify anything or have any questions, please contact your Dewings team member.
